AI Agents for Eastleigh Offices, Practices and Firms: Five Desk Jobs to Hand Over

Enquiries, reminders, document chasing, file notes and the Friday look-back: five jobs appointment-based firms give to AI agents, and a two-hour one-to-one session to set them up.

Appointment-based firms can hand five desk jobs to AI agents: the enquiry inbox, appointment reminders, chasing documents, turning notes into paperwork, and a weekly summary. Dean Keating, who publishes Eastleigh.co, runs a 2-hour one-to-one session at £397 including VAT, in person or on Zoom, where you set those agents up on your own work.

Who is behind the desk at an office-based firm?

Browse the professional categories on this directory and a pattern shows up. Solicitors, accountants, estate agents, vets, nurseries and opticians all work by appointment, all take enquiries by phone and email, and all have somebody, often the owner, squeezing the paperwork in around the real work. That pattern is where AI agents tend to earn their keep first.

An AI agent is a helper you give one narrow job, the rules for doing it and the tools it needs. It gets on with that job in the background. A person still writes the rules and signs off anything that matters.

Five desk jobs worth handing over

1. The enquiry inbox. A new enquiry lands at 6pm. An agent can read it, work out what is being asked, draft a reply in your usual wording and queue it for you to approve. You open one tidy list instead of a pile of unread messages.

2. Appointment reminders and rebooking. Missed appointments cost a practice time it cannot get back. An agent can draft the reminder and the "shall we find you another slot?" message for you to send or approve.

3. Chasing documents and replies. Waiting on a signed form, a set of figures or a callback is dull and easy to forget. An agent keeps a list of who owes you what and drafts the polite nudge.

4. Notes into paperwork. Turning your rough notes into a client letter, an engagement summary or a tidy file note is a job for a first draft. You correct it rather than typing it from scratch.

5. The weekly look-back. Pulling the week's enquiries, bookings and loose ends into a one-page summary you can read in two minutes on a Friday.

None of these needs you to understand how the technology works. They do need rules that fit your firm, and that is the hard part to get right from an article.

Where the rules come from

If you handle clients' personal or confidential information, the rules matter more than the tool. Which messages may go out without you looking? Which details should never be pasted anywhere? A person decides these things. Working them out is quicker with someone beside you than alone at a keyboard with a blank page.

From the publisher: a 2-hour one-to-one AI session

Eastleigh.co is published by Dean Keating, and this section is his own offer. It is an advert for a service he runs, and it does not appear in any directory ranking.

Here is what the session is. Two hours, one to one. You pick the two or three jobs eating your week, and Dean sets up AI agents on them live, in Claude or ChatGPT, using your own work. You leave with your own setup and prompts saved in your account. It is not slides, not a course and not a chatbot.

Where it happens is your choice: in person at his office in Waterlooville, at your business in Hampshire or Surrey, or on Zoom from anywhere in the UK. Eastleigh is in Hampshire, so a visit to your premises is one of the options. Dean is based in Horndean, Hampshire.

The price is £397 including VAT for the two hours, and the session is for business use, so the buyer is a business. The booking page shows the live date, hides a slot once it is sold, and takes payment through Stripe. Dean confirms the time with you afterwards.

Why him? He runs his web agency and his network of local directory sites on AI agents, with more than 100 defined agent roles. The rule he works to is the one he teaches: the AI does the repeat work, and a person sets the rules and approves what matters. He makes no promise about time or money saved, because that depends on your firm and on what you choose to hand over.

For more on who he is, read about Dean Keating on this site, or see the free AI call and what happens on it if you would rather start with a conversation.
